What is Convert Excel to PDF?
Excel to PDF conversion turns a spreadsheet into fixed pages that print and share reliably. PDF Zone's Excel to PDF tool reads .xlsx workbooks directly from their XML, without a spreadsheet library, and shows each cell as Excel displays it: number formats, percentages, currency, bracketed negatives, dates and the cached results of formulas. It also reads CSV files, detecting comma, semicolon, tab or pipe delimiters. Every visible sheet is laid out with pdf-lib in landscape or portrait, with options to fit every column to the page width, repeat the header row on each page and show gridlines. Formulas, hidden sheets, charts and cell colours are not printed. The conversion runs entirely in your browser, so a budget or a payroll file is never uploaded.
How to Convert Excel to PDF
Follow this step-by-step guide to easily process your PDF files locally on your device.
Choose your file
Drop an Excel .xlsx file or a CSV file onto the tool. Older .xls files need saving as .xlsx first.
Set up the page
Pick landscape or portrait and a page size. Leave fit-to-width and the repeated header row on for most sheets.
Convert and download
Press Convert to PDF. The PDF downloads straight away, and anything left out, such as hidden sheets, is listed on screen.
Why Use This Tool?
Every Sheet
Each visible sheet starts on its own page, labelled with its name, in tab order.
Fits the Page
Landscape, fit-to-width and a header row repeated on every page, so wide sheets stay readable.
Formatted Values
Numbers, percentages, currency, dates and formula results appear exactly as Excel shows them.
No Upload
The workbook is read and converted in your browser, never sent to a server.
Fitting a sheet that has no page size onto one that does
A spreadsheet is an endless grid; a PDF is a stack of fixed pages. Every Excel to PDF conversion is a decision about where to cut the grid, and the options here exist to make that cut in the right place.
What comes across
- Every visible sheet in the workbook, each starting on a new page with its name at the top, in the order the tabs appear.
- Values as Excel displays them, using the cell's own number format: thousands separators, decimal places, percentages, currency symbols, bracketed negatives and dates.
- The results of formulas, exactly as Excel last calculated them. The formulas themselves are not shown, so the logic behind a figure stays private.
- Bold text from the workbook, and numbers right-aligned in their cells the way a spreadsheet shows them.
- Merged cells that span several columns, drawn as one wide cell.
- CSV files with comma, semicolon, tab or pipe delimiters, which are detected automatically, including quoted values that contain commas or line breaks.
Fitting the page
- Landscape is the default, because most spreadsheets are wider than they are tall. On its own it fixes most moderately wide sheets.
- Fit all columns on one page width shrinks the columns and the text together so every column fits across. Rows then carry on down as many pages as they need. This is the setting most people want.
- With fitting turned off, a wide sheet is split into groups of columns that each fill a page width, and each group is labelled with the columns it holds, so a reader can follow the sheet across pages.
- Repeat the first row prints the header row again at the top of every page, so page four still tells you what each column means.
- Columns are sized to their content, up to a cap, so one long note does not swallow the page. Long text wraps inside its cell, up to six lines.
- Gridlines are on by default and can be turned off for a cleaner, report-style page.
What is left out, and why
- Charts, images, shapes, comments, cell colours and conditional formatting are not drawn. The converter carries the data, not the decoration.
- Hidden sheets are left out unless you ask for them, because a hidden sheet usually holds workings or lookup data that was never meant to be shared. The tool tells you when it has skipped one.
- Hidden rows and columns are still printed, so unhide or delete anything that should not be shared before converting.
- Text is set in Helvetica, a font built into every PDF reader. It covers English and Western European languages; characters outside it, such as Greek, Cyrillic or Polish letters, become a question mark, and the tool tells you how many.
- Only .xlsx and CSV are read. An older .xls, .xlsb or .ods file needs saving as .xlsx first, and a password-protected workbook needs the password removed.
- If the layout must match Excel's print preview exactly, Excel's own Save As PDF uses the same page setup you see there. This tool is for when you do not have Excel to hand, or cannot upload the file to an online converter.
Frequently asked questions
Drop the .xlsx file onto this page and press Convert to PDF. The conversion runs in your browser, so you do not need Excel, an account or an upload.
Leave Fit all columns on one page width turned on, and use landscape. Every column then fits across the page and the rows continue onto as many pages as they need. With fitting off, wide sheets are split into labelled column groups instead.
Every visible sheet is included, each on its own page. Hidden sheets are left out by default because they often hold workings that were never meant to be shared. Tick Include hidden sheets to add them.
No. The PDF shows each formula's result as Excel last calculated it, not the formula itself.
Yes. Comma, semicolon, tab and pipe-separated files are detected automatically, including quoted values that contain commas or line breaks. Numbers are right-aligned so columns of figures are easy to read.
The converter prints the data in each sheet, not charts, images, shapes or cell colours. If you need those, Excel's own Save As PDF reproduces the sheet exactly as it appears.
