Understanding the Tool

What is Convert PDF to Excel?

PDF to Excel conversion rebuilds the rows and columns of a table from a PDF, which stores where each value is printed but not which cell it belongs to. PDF Zone's PDF to Excel tool reads every value's position with Mozilla's pdf.js, groups values into rows by their baseline and into columns by where they fall horizontally across the page, and writes a standard .xlsx workbook, with one sheet per page or everything on a single sheet, or a CSV file. Numbers printed with thousands separators, currency symbols, bracketed negatives or percent signs become real numeric values that Excel can sum, while account numbers with leading zeros stay as text. Everything happens in your browser, so a bank statement or a payroll report is never uploaded. Scanned PDFs need OCR first.

How to Convert PDF to Excel

Follow this step-by-step guide to easily process your PDF files locally on your device.

1

Choose your PDF

Drop a PDF onto the tool. PDFs exported from accounting, banking or reporting software work best; scans need OCR first.

2

Pick the output

Choose Excel or CSV, and for Excel whether each page gets its own sheet. Leave number conversion on to get values you can sum.

3

Convert and check

Press Convert. The file downloads immediately. Open it and check a total against the PDF before relying on the figures.

Why Use This Tool?

Columns Rebuilt

Values are placed into columns by their position on the page, with gaps kept so nothing slides into the wrong column.

Real Numbers

1,200.00, $99, (300) and 12.5% become numbers Excel can sum, while IDs with leading zeros stay text.

Excel or CSV

A .xlsx workbook with one sheet per page or a single sheet, or a CSV file for any app.

No Upload

Converted on your device. Statements and reports never leave your computer.

Rebuilding a grid from a page that never had one

A table in a PDF is usually just text placed at aligned positions, with lines drawn around it. No cell boundaries are recorded. Getting it into a spreadsheet means working out the columns from where the values sit.

How the columns are found

The converter reads the position and width of every run of text on each page, then decides which values belong in the same column by where they fall horizontally across all the rows of that page.

  • Text on the same baseline forms a row. Words close together are kept as one cell, so "New York" stays in a single cell rather than splitting in two.
  • A gap wider than about one character is treated as a cell boundary, which is how most statements and reports space their columns.
  • Values that overlap horizontally on any row are placed in the same column. That is what keeps right-aligned amounts lined up under their heading even when every number is a different width.
  • A row with a missing value keeps an empty cell in that position, so the values to its right do not slide into the wrong column.
  • A title or a heading that runs across the page is placed in the first column, rather than being forced into one of the table's columns.
  • Rows where every value is bold are kept as bold text in Excel, which is usually the header row.

Numbers Excel can actually use

  • The most common reason a pasted PDF table will not add up is that the numbers arrived as text. With the numbers option on, values are converted into real numbers that sum, sort and chart correctly.
  • Thousands separators (1,234.50), currency symbols ($, €, £, ¥), accounting negatives in brackets such as (1,200), trailing minus signs and percentages are all recognised. A percentage is stored as its true value, so 12.5% becomes 0.125 and displays as a percentage.
  • Anything that would be risky to guess stays as text. Values with leading zeros, such as account numbers, postcodes and invoice IDs, keep their zeros. Dates stay exactly as printed. The European format 1.234,56 is left as text rather than misread as one thousand and something.
  • Text that happens to begin with an equals sign is written as plain text, never as a formula, so a malicious PDF cannot plant a live formula in your spreadsheet. The CSV option neutralises the same pattern for apps that read CSV.
  • Header rows are kept as text, so a column heading such as 2026 stays a label rather than turning into a number.

Where it needs a hand

  • A scanned statement is a picture, so there is nothing to read, and the tool will say so. Run it through OCR first, then convert the result. Check every figure afterwards, because recognition can misread 0 and O, or 1 and l.
  • Text that wraps onto two lines inside one cell arrives as two rows. Join them by hand, or fix the source if you can.
  • Merged header cells that span several columns land in the first of those columns.
  • Each page is read on its own, so a table that runs across pages repeats its header row on each sheet. On the single-sheet layout, filter those repeated headers out.
  • Two tables side by side on one page are read as one wide table.
  • Confirm totals before relying on the figures. If the table has a total row, check the converted values still add up to it. That one check catches nearly every column that has shifted.

Frequently asked questions

Drop the PDF onto this page and press Convert to Excel. A .xlsx file downloads with the same name as your PDF. There is no account, no limit and no upload, because the conversion runs in your browser.

Yes, with the number option on. Values printed with thousands separators, currency symbols, bracketed negatives or percent signs are stored as real numbers, so SUM and sorting work. Values with leading zeros, such as account numbers, are kept as text so the zeros are not lost.

The statement never leaves your device: it is read and converted in your browser and nothing is sent to a server. You can confirm this in your browser's developer tools, where the Network tab shows no upload.

Not directly. A scan is a picture of a table, so there is no text to place into cells, and the tool will tell you so. Run it through OCR first, then convert the result, and check every figure, since recognition can misread digits.

When a cell's text wraps onto a second line in the PDF, that second line has its own position and is read as a new row. Join the two rows in Excel. This is the most common clean-up step for PDF tables.

Excel keeps real numbers, bold headers, sensible column widths and one sheet per page. CSV is plain text that any app, database or script can import, and it holds every page in one table.
